What is agent-based automation, and how is it different from traditional automation?
Traditional automation follows fixed "if this, then that" rules. Agent-based automation uses AI to make decisions, handle exceptions and adapt to changing situations. Instead of "if the email contains X, send it to person Y", the agent reads the email, understands the context, decides who should handle it and drafts a suitable reply. We build these with Claude, OpenAI or Google Vertex, and orchestrate them through n8n or webhooks depending on your requirements.
Why do you build just one automation?
Because one workflow built properly is worth more than five built halfway. We choose the single process that is costing you the most time, build it to production standard and teach your team to run it. We agree what success looks like before we start, so the fee is tied to one task you can measure. MIT research published in 2025 found that most AI pilots stall before they deliver value; we would rather prove it on one and earn the next.
What kinds of work can you automate?
The best fit is work that needs a little judgement, not just shuffling data: triaging and routing inbound enquiries, qualifying and scoring leads with a reason, turning meetings into actions in your CRM, answering questions from your own documents, drafting content or replies in your brand voice, and running research tasks that pause for your sign-off. If a task is repetitive and follows a consistent pattern but still needs some thinking, it is usually a strong candidate.
Why not just use Zapier?
Zapier is excellent for simple two- or three-step workflows. For anything more involved it has limits: it follows fixed rules and breaks on edge cases, it has no AI decision-making, its error handling is limited so data can be lost, and it keeps no audit trail for compliance. Costs also add up quickly, often £100–300 a month for multi-step workflows. A one-off professional build is usually cheaper over two to three years and far more robust.
How is this different from your Custom Platform service?
AI Automation (£2,500) builds one AI-native workflow and orchestrates your existing tools, your CRM, inbox, accounting or project software, so your current stack works together intelligently. Custom Platforms (from £25,000) are for building entirely new software when existing tools cannot meet your needs. If you are not sure which you need, book a consultation and we will recommend the right approach.
Will this work with our existing software?
Almost certainly. We regularly integrate with CRMs (HubSpot, Salesforce, Pipedrive), email (Gmail, Outlook, Mailchimp), accounting (Xero, QuickBooks, FreeAgent), project tools (Asana, Monday, Trello) and hundreds of others through their APIs. If your software has an API or can export data, we can connect it. We confirm technical compatibility during discovery, before any build begins.
What technology do you use, and do I own the automation?
We build with Claude, OpenAI and Google Vertex, and choose the model that fits the job on quality, cost and reliability. Calls run through a model-agnostic layer, so a model can be swapped in configuration rather than rebuilt, and we connect agents to your systems through the Model Context Protocol (MCP) where it fits. You own everything we build, with full documentation and training, and you are never locked into working only with us. For complex orchestration we can use self-hosted n8n, which keeps the workflows entirely in your hands.
Will it still work in six months?
We route the AI through a model-agnostic layer, so if a better or cheaper model appears, or one has an outage, we can switch it in configuration without a rebuild. Your workflow is not tied to one vendor or one model.
Is my data safe, and what about GDPR?
Yes. Data protection is built into every build: encrypted credential storage, audit logs of every automated action, retention policies you control and GDPR-compliant data handling as standard. For sensitive workflows we add human approval gates, so the AI drafts the action and a person approves it before anything runs. All builds follow UK data protection standards.
What happens if the automation breaks or stops working?
Every build includes 30 days of post-launch support. If something breaks in that period, whether from an API change, a system update or an unexpected edge case, we fix it at no extra cost, and we set up monitoring so issues are caught early. After that you can run it yourself with the documentation and training we provide, or take an ongoing support retainer, quoted separately.
How long does it take to build?
Most builds take two to six weeks from kick-off to launch, depending on how many systems are connected and how quickly API access and test data are available.
What are the ongoing costs after launch?
After launch you have platform and usage costs, typically £20–100 a month for model usage, or £10–50 a month for self-hosted n8n hosting, both pay-as-you-go. Your existing subscriptions stay the same; the automation simply connects them. Ongoing support from us is optional and quoted separately.
